Security System Maintenance Checklist

Most security systems fail because nobody maintains them — not because the equipment is bad. This checklist gives facilities and security teams a starting point for what to inspect, test, and document on a regular schedule.

Doors and access control

  • Test every door: card grant, REX, DPS, strike, and latch
  • Inspect door alignment and gap (frames settle, doors sag)
  • Verify all electrified hardware operates cleanly
  • Test power transfer hinges and electric power transfers
  • Confirm fail behavior on each door (fail-safe vs. fail-secure)
  • Review audit logs for unusual events
  • Audit user credentials and remove terminated staff

Cameras and video

  • Walk every camera view and verify framing
  • Confirm image quality day and night
  • Verify recording, retention, and storage health
  • Check lens cleanliness and weather seals
  • Test remote viewing from mobile and desktop
  • Review storage capacity vs. retention requirements
  • Coordinate any required firmware updates

Alarms and intrusion

  • Walk every zone and test sensors
  • Test communication paths (IP, cellular, monitoring center)
  • Review user codes and remove terminated staff
  • Test backup battery condition and runtime
  • Verify arming and disarming schedules
  • Review false-alarm trends and address root causes
  • Confirm panic and hold-up devices function

Gates and garage access

  • Inspect gate operator condition and lubrication
  • Test safety loops, photo eyes, and edge sensors
  • Verify reader, keypad, and intercom function
  • Confirm backup battery runtime
  • Review credential and remote inventory
  • Test free-exit and emergency-access functions

Intercoms

  • Test call from every door station
  • Verify call routing to desk, phone, and mobile destinations
  • Test remote release at each integrated door
  • Confirm video quality day and night
  • Verify after-hours call routing

Cabling and network

  • Inspect head-end and IDF condition
  • Verify cable labeling matches as-built documentation
  • Test PoE switch capacity and uptime
  • Confirm backup power and UPS condition
  • Review network for anomalies affecting cameras or access

Documentation and user access

  • Update as-built drawings after any change
  • Maintain panel programming and configuration records
  • Review administrative user accounts
  • Document any temporary or unusual configurations
  • Maintain a service log of every visit and change
